Gym Niyam is gym management software. A gym uses it to look after its members, and this page explains what happens to the information that goes into it.

Who is responsible for what

A gym that uses Gym Niyam decides which details it keeps about its members and why. For that member information the gym is the one responsible, and Gym Niyam handles it only to run the service for the gym.

If you are a gym member and want to see, correct or remove your information, ask your gym first. If you are gym staff, or an owner, the information in your own login belongs to the relationship between you and Gym Niyam, and you can ask us directly.

What the app keeps

The details depend on what your gym enters. Typically:

  • Staff logins: name, email, phone number, role and a password that only the sign-in service can read.
  • Members: name, phone, email, sex and date of birth if the gym enters them, membership and payment records, visits, and the gym's own notes.
  • Health and training details, if the gym enters them: goal, experience, pain or injuries, health notes, an emergency contact, body measurements, progress photos, workout and diet plans and habits.
  • Messages and bookings a member sends or makes from their pass page.
  • Technical data: the address your device connects from and the time, kept in server logs for security and for fixing faults. The sign-in session uses a cookie. A member's phone can remember their pass link in the browser.

We do not sell personal information and we do not show advertising.

Health information and photos

Health notes, injuries and progress photos are sensitive. In Gym Niyam they are visible only to the gym's own staff, and a coach sees only the members assigned to them. Progress photos are stored privately and are opened through short-lived links. Health notes are never shown on a member's pass page.

Gyms should collect this only with the member's agreement, and only what the coach needs to train them safely.

Who can see it

  • The gym's staff, according to their role. One gym can never see another gym's information.
  • A member, through their private pass link, sees their own membership, plans, habits, class bookings and messages.
  • The people who run Gym Niyam, only when needed to give support or keep the service safe. To see what an owner sees, they can open the gym's screens in a view only mode where nothing can be changed, and every such visit is written to a log. That includes the members' names, health notes and payments that the gym keeps in Gym Niyam.

Gym Niyam relies on other services to run, and they handle data on our behalf:

  • Supabase, for the database, sign-in and private file storage.
  • Vercel, for hosting the website and the app.
  • Razorpay, only when a gym owner pays for a Gym Niyam plan online. Card and bank details go to Razorpay and not to us.

These services may keep data on servers outside India. WhatsApp messages that staff send from Gym Niyam are sent from the staff member's own WhatsApp and are handled by WhatsApp under its own terms.

The pass link

A member's pass link works like a key. Anyone who has it can open that member's pass page. Members should not share it. If a link was shared by mistake, the gym can replace it and the old link stops working.

How long we keep it

Information stays while the gym uses Gym Niyam. A gym owner can delete a member, which removes that member's payments, visits, progress and photos. When a gym closes its account, we delete its information on request. Some records, such as security logs and payment records for Gym Niyam plans, are kept as long as the law requires.

Keeping it safe

Each gym's information is separated at the database level, so a bug in one screen cannot show another gym's data. Connections are encrypted. No online service is perfectly safe, so if something goes wrong that affects you, we will tell the gym and act as the law requires.

Your rights

Under India's Digital Personal Data Protection Act, 2023, you can ask what information is held about you, ask for it to be corrected or erased, withdraw consent you gave, and complain if you think your information was misused. Ask your gym for member information. For anything in your Gym Niyam login, or if the gym does not help, contact us below.

If a member is under 18, the gym needs a parent or guardian's consent before adding them and should enter only what is needed.

Changes

If this policy changes in a way that matters, we will update the date above and tell gym owners.
